AI Assistant¶
The AI Assistant learns your business from your website and replies to your customers on your connected channels, 24/7 — from the same Inbox you already use. Beyond answering questions, it can take orders in your WooCommerce store and book appointments on your calendar, right in the chat.
What it can do¶

It works on WhatsApp, SMS, Telegram, Instagram, Messenger and Web Chat. Email is not handled by the assistant.
Where to find it¶
Go to Inbox → AI Assistant. Each store can have its own assistants, each trained on its own website.
Train it with your website¶
At the top of the AI Assistant page you'll find "Train it with your website":
- Paste your site's URL and click Scan site.
- The scan takes 1–2 minutes and runs in the background — you can keep using the app.
- When you see "Your website is ready!", click Create my assistant — the setup wizard opens with everything pre-filled.
The assistant reads your site on its own and builds its knowledge base: business hours, location, payment methods, shipping, returns and more. You can always add your own questions and answers by hand to fine-tune it.
It only answers what it knows
The assistant replies only with what it learned from your site and your custom Q&A. If it doesn't have the answer, it doesn't improvise — it hands the conversation to your team in the Inbox.
The setup wizard¶
Creating or editing an assistant walks you through four steps:
1 · Connect¶
Link the assistant to your website's knowledge. If you used the scan widget, this is already done — otherwise paste your URL here and scan.
2 · Personalize¶
Give it a name, an avatar, a tone and a language. This is how it introduces itself to your customers.
3 · Capabilities¶
Choose what the assistant is allowed to do:
- Answer customer questions — always on.
- Let it build the cart — requires WooCommerce with your products synced. See Taking Orders.
- Let it book appointments — books directly on your NotifyBulk calendar, or hands out your external booking link. See Booking Appointments.
4 · Channels & go live¶
- Channels — pick which of your connected channels this assistant covers.
- Schedule — let it work around the clock, only during office hours, or only outside them (great for off-hours coverage while your team handles the day shift).
- Hand-off to your team — set how long the assistant steps aside when a human jumps in: "If your team replies in a conversation → the assistant resumes after…" (15 minutes to 24 hours). Taking a conversation in the Inbox pauses it the same way.
- Reply mode — see below.
- Test it before going live — chat with your assistant in a sandbox: ask the things your customers would ask and check the answers before activating it.
One assistant per channel at a time
Only one assistant can cover a given channel during the same time window. If two overlap, the app warns you when activating: "…is already covered by another assistant at the same time. Pause it or adjust the schedules so they don't overlap." Complementary schedules (one on office hours, one off hours) work fine.
Reply modes¶

Credits¶
Each customer chat the assistant handles uses 1 conversation credit. Credits reset monthly, and the AI Assistant page shows how many chats you have left. The AI Assistant is available on paid plans.
Tips¶
- Start in Review mode for a few days — you'll see exactly what it would have sent and build confidence before switching to Auto.
- Add custom Q&A for anything your website doesn't say (promotions, edge cases, internal policies you want worded just so).
- Re-scan your site after big content changes so the knowledge base stays current.
- Pair it with a schedule: your team answers during the day, the assistant covers nights and weekends.
